NexuPixel currently operates as an independent agency without a formal registration jurisdiction. Regardless of our registration status, we are fully committed to responsible and transparent data handling practices that respect the privacy rights of every individual and business we interact with — wherever in the world they are located.

- Email correspondence — any emails you send to us, including attachments, are stored in our inbox and may be referenced for project or contractual purposes.
- Onboarding & contract process — once you agree to work with us, we collect business credentials, brand assets, and access details necessary to deliver your project.
- Cold outreach (inbound data) — when we reach out to a prospective client and they respond, their contact and business details are retained for follow-up and potential engagement.
- Automated website tools — analytics or tracking tools running on our website may automatically collect technical data such as IP addresses, device type, and browsing behaviour (see Section 7: Cookies).
Why We Use Your Data
We only use personal data for specific, legitimate purposes. We will never sell, rent, or trade your data to any third party for commercial gain. Below are all the reasons we process your information:

Marketing communications: We adapt our outreach method based on your geography and availability — using WhatsApp for clients in regions where it is the primary communication channel, and email elsewhere. You may opt out of marketing messages at any time by replying "STOP" to a WhatsApp message or by emailing hassan@nexupixel.com.
Third-Party Services & Data Processors
To deliver our services, we use a number of third-party platforms that may process your personal data on our behalf. We only work with platforms that maintain their own robust privacy standards. We do not sell your data to any of these platforms, nor do we permit them to use your data for their own marketing purposes.
Used for project updates, file sharing, and client messaging. Messages are processed via Meta's infrastructure. See Meta's Privacy Policy for full details.
Used for video meetings. Zoom may store meeting metadata. Recordings are only made with explicit consent from all participants.
We use professional email services (e.g. Google Workspace) to manage client communications. Email content is stored on secure servers.
Used for receiving client payments internationally. These platforms process financial data independently and are governed by their own privacy and compliance policies.
We may use CRM or automation platforms (e.g. for client tracking, content scheduling) that process data. These are selected with data security in mind.
Our website may use analytics tools (potentially including Google Analytics or similar) that collect anonymised usage data to help us understand visitor behaviour.
We do not share your personal data with any third party beyond what is strictly necessary to deliver our services. We never sell, lease, or commercially exchange your data. If a new tool is introduced that processes your data, this policy will be updated accordingly.
Cookies & Website Tracking
Our website may use cookies and similar tracking technologies. We are currently in the process of fully identifying all tracking tools in use, and this section reflects our current understanding.
- Essential / session cookies — These are technically necessary for the website to function (e.g. form submissions, navigation). They are temporary and expire when you close your browser. No consent is required for these.
- Analytics cookies — If an analytics tool (e.g. Google Analytics) is active on our website, it may place cookies that collect anonymised data such as pages viewed, session duration, device type, and referral source. This helps us improve our website.
- No advertising cookies — We do not currently use any advertising, retargeting, or behavioural profiling cookies.
Your cookie choices: Most browsers allow you to refuse, delete, or manage cookies through your browser settings. Disabling analytics cookies will not affect your ability to use our website. For specific instructions, refer to your browser's help documentation.

Data Retention
We retain your personal data for as long as it is necessary to fulfil the purposes for which it was collected, or as required by applicable law. The table below outlines our current retention approach:

Data Security

- Two-step verification (2FA) is enforced on all accounts and tools used to store or process sensitive client data.
- Access control — client credentials, assets, and sensitive project materials are accessible only to the team members directly working on that specific project. No unnecessary access is granted.
- Confidentiality obligations — all NexuPixel team members and contractors are contractually bound to maintain strict confidentiality over any client data they encounter during their work.
- NDA availability — clients may request a Non-Disclosure Agreement (NDA) at any time before or during a project engagement.
- Secure file storage — project files and deliverables are stored securely and are retained after project completion as a safeguard in case of disputes or re-engagement requests.
- Global best practices — our security approach is aligned with globally recognised information security standards, and we continuously review and update our practices as the threat landscape evolves.
Data breach protocol: In the unlikely event of a data breach affecting your personal information, we will notify you as promptly as possible and take immediate steps to contain and investigate the incident.
Your Privacy Rights
Regardless of where you are located, NexuPixel respects your right to control your personal data. The following rights are available to you, and we will honour any valid request within 30 days of receipt:
You may request a copy of all personal data we hold about you at any time. We will provide this in a clear and readable format.
If any of your personal data we hold is inaccurate or incomplete, you have the right to request that we correct or update it promptly.
You may request that we delete your personal data. We will comply unless we have a legal or legitimate reason to retain it (e.g. financial records).

You may request that we temporarily pause the processing of your data — for example, while you contest its accuracy or while we verify a deletion request.
You may request a structured, machine-readable copy of the data you provided to us, so you can transfer it to another service provider if you wish.

We will acknowledge receipt within 5 business days and fulfil your request within 30 days. We reserve the right to verify your identity before processing the request.
If you are based in the EU or UK and believe we have not handled your data in compliance with applicable law, you have the right to lodge a complaint with your local data protection authority (e.g. the ICO in the UK, or your country's supervisory authority in the EU).
